[Settings, General & Other](https://help.myhubintranet.com/settings-general-other?hsLang=en-us) # AI Usage & Data Processing Policy ## This policy explains how MyHub's AI features, including AI Search and AI-assisted functionality, work and how customer data may be processed when those features are enabled. ### **Key Points** - **AI Search is optional and disabled by default.** It is only enabled in consultation with an authorised customer representative and the [MyHub Customer Success team.](https://help.myhubintranet.com/video-embed-copy-paste-4-0?hsLang=en-us) - **Customers control what content is included.** Administrators can choose which repositories, folders, files, and content areas are indexed and available to AI features. - **Customer data is processed only to provide AI functionality.** This may include indexed content, document text, search queries, prompts, and connected repository content. - **Customer data is not used to train public AI models.** MyHub configures AI providers so customer content is processed for AI functionality only, not for public model training. - **Third-party AI providers may be used.** Depending on configuration, providers may include OpenAI, Microsoft Azure, Anthropic, Google, and other supported AI services. - **AI Search respects permissions.** Search results are designed to align with the access controls and permissions configured within your MyHub environment. - **Customers remain responsible for governance and data selection.** Organisations should carefully assess whether sensitive or regulated information should be made available to AI-enabled features. - **AI-generated responses may not always be accurate.** Users should verify important information against original source documents before relying on AI-generated summaries or answers. - **Fair usage limits may apply.** AI functionality is generally included within subscription fees, subject to reasonable and fair usage. ### **Frequently Asked Questions:** **Is AI Search enabled automatically?** No. AI Search is disabled by default and must be enabled through a managed implementation process. **Does MyHub use our data to train AI models?** No. MyHub configures AI integrations so customer data is used only to deliver AI functionality within the platform. **Can we control what content AI can access?** Yes. Administrators can control repository connections, indexing scope, folder inclusion, file exclusions, permissions, and other AI-related settings. **Which AI providers does MyHub use?** MyHub may use providers such as OpenAI, Microsoft Azure, Anthropic, Google, and other supported AI infrastructure providers. Providers may change over time. **Can AI access sensitive information?** Only if customers choose to make that content available.
