How to Manage Email Notifications
Learn how to manage Performance & Growth email notifications for goals, feedback, meetings and performance reviews.
Understanding Email Notifications
Email Notifications allows administrators to control which Performance & Growth activities generate automatic email notifications.
These notifications help employees and managers stay on top of important actions without needing to regularly check Performance & Growth for updates.
Open Settings and select Email Notifications to manage the available notification types.
Managing Goal Reminders
Goal Reminders can be used to remind employees about their active goals.
When enabled, you can choose how frequently goal reminders are sent.
Available reminder frequencies include 3, 7, 14 or 30 days.
Choose a frequency that suits how your organisation manages goals. For example, an organisation with short-term operational goals may want more frequent reminders, while monthly reminders may be more appropriate for longer-term goals.
The objective is to encourage employees to keep their goal progress current without generating unnecessary emails.
Managing Feedback Received notifications
Enable Feedback Received notifications when you want employees to receive an email when someone provides feedback to them.
This helps make feedback timely.
Rather than waiting until an employee next opens Performance & Growth, they'll know that new feedback is available and can review it while the context is still relevant.
Managing Feedback Requested notifications
Enable Feedback Requested notifications to alert employees when someone has asked them to provide feedback.
For example, an employee might request feedback from a colleague after completing a project or presentation.
The email notification lets the recipient know there's a feedback request waiting for them to complete.
Managing Meeting Notifications
Meeting Notifications support the 1:1 Meetings process.
When a meeting is scheduled, notifications help make sure the people involved know about the meeting.
Meeting invitations are sent to both participants, and the meeting can be added to calendars such as Outlook or Google Calendar.
MyHub then provides the associated meeting information, including the agenda, goals and feedback selected for discussion, notes and action items.
Managing Review Notifications
Review Notifications help employees and managers keep performance reviews moving through the review process.
When a review is assigned, the appropriate people can be notified that there's an assessment requiring their attention.
Review reminders can also be sent when a review is approaching its deadline.
For example, if a review is still outstanding seven days before the end of the Review Cycle, a reminder can help prompt the employee or manager to complete their part of the process.
This is particularly useful for organisation-wide Review Cycles where administrators may be managing a large number of assessments at the same time.
Previewing an email
Select View Email to preview the email associated with a notification.
This allows you to see what employees or managers will receive before deciding whether that notification should be enabled.
Previewing the emails can also help you understand the purpose of each notification and when it will be sent.
Saving notification settings
Email Notification settings are saved automatically as you make changes.
You don't need to complete a separate save process after changing a notification setting.
This makes it easy to enable or disable individual notification types as your organisation's requirements change.
Choosing the right notification settings
Not every organisation needs every notification enabled.
The objective is to use notifications where they help someone take action.
For example, reminders can be particularly useful for goals that need regular updating or performance reviews with defined deadlines.
At the same time, sending too many emails can make important notifications easier to overlook.
Consider how frequently your employees use Performance & Growth and which activities genuinely benefit from an email reminder.
Reviewing your settings over time
Your notification requirements may change as your organisation becomes more familiar with Performance & Growth.
When first introducing the system, you may want more notifications to help establish new processes.
Once employees and managers are regularly using goals, feedback, 1:1 meetings and reviews, you can revisit the settings and decide whether each notification is still useful.
Keeping Email Notifications focused helps employees receive the right prompts at the right time without creating unnecessary email traffic.
