Workflows

Workflows are a fantastic way of automating your learning programmes. Not only does it save time, but it will also ensure your onboarding, upskilling and compliance programmes are maintained and ongoing without needing your constant attention. It also means you can ensure your teams are continue to learn and grow.

Workflows are based on a trigger (what causes the workflow to run) and an action (what the workflow does).

Triggers

There are 7 triggers that can be leverage to automate learning workflows:

  • A new person joins
  • A profile is updated
  • A person is added to a team
  • A learning pathway is completed
  • An event is attended
  • A form is submitted
  • A single learning content is completed

Trigger criteria

One you have selected a trigger you can also choose to narrow the criteria of the trigger by:

  • selecting a specific record (eg. team, pathway, form, event or content)
  • OR by selecting matching criteria such as role, position, level, tags or instructors. The criteria you can filter by depends on the type of trigger

Actions

There are 5 actions that you can perform once a trigger has been activated.

  • Assign a pathway
  • Assign learning content (from Library)
  • Assign an event
  • Assign a form
  • Add person to team

Once you have selected an action you will need to select the specific record. This will be a pathway, an event, a form, a team or some learning content from library.

Managing Workflows

Once you have added a workflow it will start running automatically. You can modify the workflow and these changes will also take effect immediately.

If you need to stop a workflow at any time you can click the “pause” button. You can then restart at anytime. You can also deleted a workflow if required.

Example Workflows

Below is a list of examples workflows that you could use to improve your learning programmes:

  • When a person is added to a team then assign them an onboarding pathway specifically for that team
  • When a new person joins and their position is “Engineer” then add them to the Engineering Team
  • When a person completes a learning assignment (eg article, course, podcast) assign them a Post Assignment Survey (Form)
  • When a person attends an event assign them a Post Assignment Survey (Form)
  • When a person completes their learning pathway assign them an event to meet with their manager to review learnings
  • When a new person joins, assign them the code of conduct document to review
